NON TENANTED PROPERTIES:
  • General maintenance of the property.
  • Supervise professional clean up, gardening etc as per owner's requirements at an additional cost.
  • Maintain keys of the property segregated and labeled.
  • Arrange for property inspections for prospects, realtors and owner's representatives.
  • "ONE POINT CONTACT" between the owner and prospects.
  • Visiting property for routine / periodic checks.
  • Collection of mails, storage of them and periodic updates to the owner.


TENANTED Properties

Pre - Occupation:
  • Arrange for property inspections for the prospects.
  • Preparing list of additional jobs / repairs which are required to be carried out to make the property tenantable.
  • Compare and analyze costing from various vendors, choice of vendor and update owner and seek for approvals.
  • Organise / supervise professional clean ups and additional jobs / repairs required by tenant and which approved by the owner.
  • Preparing an inventory list and ensuring a smooth walk through of property with the tenant.
  • Handover keys, club membership cards, stickers etc


TENANTED Properties - Post - Occupation:
  • Email reminder to tenants regarding monthly rent cheque, pick up / deposit of Cheque to owner's account and recording /storage of pay in slips in owner's file.
  • If tenants face any issues / problems (minor), co-ordinate with the concerned person / people (ex: building manager / builder / electrician etc) and solve the issues.
  • In case of any major issues :
    • Inspect the site and identify the nature of issue and evaluate.
    • Intimate the owner regarding the same, attach pictures as far as possible.
    • Compare and analyze costing for repair / alterations from various vendors and update owner about costs involved and seek for approvals
    • Fix a convenient timing with tenant and supervise the job.
    • Once the job is completed, click pictures and send to owner with a detailed note on completion of job.
    • "ONE POINT CONTACT" between the owner and the tenant


TENANTED Properties - Take Over:
  • Check / match the inventory list (to the original) and take care of walk through.
  • Prepare list of damages, analyse the cost and collect the respective amount from tenant prior to vacating.
  • Getting the work / repair's done
  • Check the meter reading and settle final accounts with tenant.
  • Collect keys , membership cards etc
  • Collect "NO DUE CERIFICATE" from the association.
  • Handover the security deposit Cheque to the tenant.
  • Lock the property and store the keys.


BILLS / STATUTORY / PAYMENTS:
  • PROPERTY TAX:
  •     Co-ordinate with property tax office, owners and make prompt payments of property tax every financial year and update client records.

  • ELECTRICTY BILLS :
    • Non tenanted properties - Co-ordinate monthly payment of electrical bills
    • Tenanted properties - During the term of tenancy the tenant normally takes care of this as per the agreement clauses. We track this periodically.
    • Arrange for meter name transfer - if required
    • DOCUMENTS:
    • Maintain all property related documents

  • ASSOCIATION:
  •     Monthly / Annual maintenance bills. Co-ordinate with owner for prompt payments

  • INSURANCE:
  •     Follow up for payment of premiums with insurance company where the client already has insurance for his property. Maintenance of original policy documents and handover to owner
**  Actuals include the actual charges incurred due to hiring of an external agency for cleaning services or additional materials used for repairs and maintenance or any out of pocket expenses and supervision / labour cost.

For all the charges mentioned above, Service Tax at applicable rates is payable. (Currently 12.36%)
